Challenges

During rapid year on year growth, AECOM struggled to manage its most important assets, it's people! This was a complex manual process, utilizing spreadsheets with a variety of supporting software solutions that resulted in a lot of inaccuracy, cost overruns, operational bottlenecks and manual interventions. Since majority of the projects are relatively small (duration of approx. 4-6months) and primarily based on skillsets, most of the staff are working on a minimum of 3-5 projects at a time. Prior to establishing a strategic relationship with Keross, A

  • No visibility of resources allocation from bidding stage to project delivery, leading to cost overruns
  • Monthly reporting consuming more than 2 weeks of manual effortInaccurate resource forecasting based on existing projects, those in the pipeline stage and projects awarded
  • No possibility of moving project start & finish date with all the linked resources
  • Pricing new work was based on “likely” requirements and generic pricing per resource/skillset

The resource planning and management solution integrated all technical and functional requirements, while removing dependency towards obsolete and fragmented third party systems, such as PowerBI, Primavera P6 etc.  The solution enabled the business to have aggregated, real-time access to information across all projects with tailored visual dashboards & reports. Aside from providing granular visibility into demand and availability, Ikon enabled Aecom management to act-upon their business thresholds resulting in a drastic improvement of resource allocation, reduction of manual effort and an increase in customer satisfaction.

  • Consolidated and centralized real time information coming from Finance, Governance, HR and CRM systems
  • Predictive resource utilization look-ahead, based on existing projects, open bids and sales efforts
  • Staff can be selected based on skillset, experience, grade, cost, location and individual name
  • Staff productivity managed in real-time through dashboards, allowing managers to plan and proactively manage programs from anywhere in the world
  • Managing unbalanced workloads before they become a problem
The complete and very granular Resource Management tool was implemented using Ikon in less than 2 months. The industry was not able to achieve the development of such a solution using a variety of different vendors.
